Confidential document sharing for a small firm: log the access, expire the link, revoke the file

Confidential document sharing is what a small firm does every week, a valuation, a draft agreement, a client's financials, and the difference between doing it well and badly is three controls. The access log says who opened the file and when. The expiring link means a file shared for a week is not open in a year. The revoke means a file sent to the wrong person, or to a client who has since left, can be pulled back. Email offers none of the three; a general drive offers them only where somebody configured them. The free document capture worksheet on this site sizes the intake the portal will carry; Batesio Pro shares through a logged portal under the firm's name.

Log the access

Every open of a shared file, by whom and when, against the document. The log is the firm's answer to the client who asks who has seen the valuation, and it is the record the firm reads when a document turns up where it should not have.

Expire the link

A link sent for a week's review should stop working when the week ends. Files shared once and left open are how a former employee's mailbox becomes a leak two years later; the expiry is set when the file is shared, not remembered afterwards.

Revoke the file

Sent to the wrong address, or to a client who has moved on: the file is pulled back and the log shows whether it was opened first. Dropbox, cited below, prices its Standard team plan at $15 per user per month and its Advanced plan at $24; the firm should check which of the three controls each tier actually provides before choosing on price.

Questions people ask about confidential document sharing

Is a password-protected PDF confidential sharing?

It protects the file once; it logs nothing, expires nothing and revokes nothing. The three controls are what the portal adds.

Can the client share the file onward?

The log shows opens by the client's link; onward sharing is the client's conduct and the firm's terms. Expiry and revocation limit how long the file stays reachable.
